Takoa Foundation (“we”, “us”, “our”) is a nonprofit organisation registered in Ghana. This policy explains what personal data we collect when you visit takoafoundation.org, donate, volunteer, contact us or take part in our programmes, how we use it, and the rights you have under Ghana’s Data Protection Act, 2012 (Act 843).

1. Who we are

Takoa Foundation is the data controller for the personal data described in this policy and is registered with the Data Protection Commission of Ghana.

2. What we collect

  • Contact details: your name, email address, phone number and what you tell us when you use our contact form or contact us by email, phone or WhatsApp.
  • Donation details: your name, email address, the amount and date of your donation, the campaign you support, the payment method and the transaction reference. Card and mobile-money details for online donations are entered on Paystack’s secure checkout. We do not see or store them.
  • Volunteer applications: your CV, cover letter and anything else you include, such as your education, work history and references.
  • Programme information: details we need to run our programmes and keep participants safe, such as the names, ages, schools, communities and family circumstances of the children and families we support.
  • Photographs and videos taken at our activities.
  • Technical data: your IP address, browser and device type, the pages you visit and how you reached our site. This comes from cookies, Google Analytics and our hosting and security systems.

3. How we use it

We use personal data to:

  • reply to your messages and requests;
  • process donations, send receipts and keep financial records;
  • review volunteer applications and coordinate volunteers;
  • run our programmes and safeguard the children and families we work with;
  • send updates about our work to people who have asked for them;
  • understand how our website is used and improve it;
  • keep our website secure and prevent fraud;
  • meet our legal, tax and accounting obligations.

We process personal data with your consent, where it is needed to do something you asked for (such as processing a donation), where the law requires it, or where it is necessary for our legitimate charitable work and does not override your interests. You can withdraw your consent at any time. This does not affect anything we did with your data before you withdrew it.

We do not sell personal data, and we do not make decisions about you based solely on automated processing.

4. Donations and anonymous giving

When you donate online, our donation system records your donation and emails you a receipt. Paystack processes the payment under its own privacy policy. If you give by bank transfer or mobile money, your bank or mobile-money provider shares the transaction details with us so we can match your gift to you.

You can choose to give anonymously. We will then not show your name publicly on our website, but we still keep your details privately for our records and your receipt.

5. Children and photographs

Much of our work involves children. We collect personal data about a child only when we need it for a programme or for safeguarding, and only with the consent of the child’s parent or guardian. We publish photographs or videos in which a child can be identified only with the written consent of their parent or guardian.

If you are a parent or guardian and want an image removed, contact us. We will take it down from our website and the social media accounts we manage.

Our website is not designed for children to use on their own, and we do not knowingly collect personal data from children through it.

6. Who we share it with

We share personal data only when necessary, and only with:

  • Paystack, to process online donations;
  • our banks and mobile-money providers, to receive and match donations;
  • Google, which provides our website analytics (Google Analytics) and web fonts;
  • Hostinger, which hosts our website;
  • our email provider, to send and receive email;
  • WhatsApp (Meta), if you choose to contact us through the WhatsApp button;
  • professional advisers such as auditors and lawyers, when needed;
  • public authorities, when the law requires it.

Our website links to our pages on Facebook, Instagram and X. If you visit those pages, the platforms process your data under their own policies.

7. Data processed outside Ghana

Some of these providers, including Google, Paystack, Hostinger and Meta, may store or process data outside Ghana. We use established providers that apply recognised security standards, and we share only what each one needs.

8. How long we keep it

  • Donation and financial records: for as long as Ghanaian tax and accounting law requires.
  • Messages and enquiries: up to two years after our last contact with you.
  • Volunteer applications: 12 months if your application is unsuccessful. For volunteers, the time you volunteer with us plus two years.
  • Programme records: while the person takes part in the programme, and afterwards for as long as safeguarding and reporting obligations require.
  • Website analytics: up to 14 months.
  • Security logs: up to 90 days.

After that, we delete the data or make it anonymous.

9. How we protect it

Only staff and volunteers who need personal data can access it. Our website uses encrypted connections (HTTPS), and we keep our systems protected and up to date. If a security breach puts your personal data at risk, we will tell you and the Data Protection Commission as soon as reasonably possible, as the law requires.

10. Your rights

Under the Data Protection Act, 2012 (Act 843), you have the right to:

  • ask whether we hold personal data about you and receive a copy of it;
  • ask us to correct or delete data that is inaccurate, out of date, incomplete, excessive or held without a lawful reason;
  • ask us to stop processing that causes, or is likely to cause, you unwarranted damage or distress;
  • ask us to stop using your data for direct marketing;
  • not be subject to decisions based solely on automated processing;
  • withdraw any consent you have given.

To use these rights, email info@takoafoundation.org. We may ask you to confirm your identity, and we will respond within 21 days.

If you are unhappy with how we handle your data, please tell us so we can try to put it right. You can also complain to the Data Protection Commission.

11. Cookies

We use cookies to run and secure our website, process donations and, with your consent, measure visits through Google Analytics. Our Cookie Policy explains the details and your choices.

12. Changes to this policy

We will update this policy when our practices change. The date at the top shows when it was last updated.
